School Receptionist and Office Administrator - Riyadh

We are seeking a warm, welcoming, and highly organized School Receptionist and Office Administrator to join our client at a prestigious British School in Riyadh, KSA. The ideal candidate will serve as the first point of contact for visitors and incoming callers, ensuring a positive and professional experience for all. Additionally, you will provide broad administrative support to the school, ensuring smooth and efficient operations.

School Receptionist:

  1. Maintain discretion and confidentiality at all times;
  2. Welcome and sign-in/out all visitors and parents;
  3. Receive incoming phone calls/queries from parents and stakeholders;
  4. Resolve queries and questions (liaising with relevant members of the school team for assistance as appropriate);
  5. Receive incoming goods/post and forward these to appropriate team members at the School;
  6. Coordinate outgoing goods/post in liaison with the relevant parties;
  7. Provide support in the admissions process, dealing with enquiries and helping to process applications through the system with necessary follow up, in liaison with the
  8. Registrar and the Marketing Manager;
  9. Deal with ad-hoc queries.
  10. Provide needed support for other departments if they need to .
  11. Doing some tasks requested by the headmaster or board members .

Office Administrator:

  1. General administrative activities including the sending of communications to staff and parents, generate/distribute surveys;
  2. Input/update information in the school MIS in coordination with the Office/Data Manager
  3. Update the MIS with notified and authorised absences. Follow up with parents when children are absent once registers close each day. Update the registers accordingly.
  4. Be a trained first aider, to assist with unwell children (we can arrange training), maintain stocks of first aid supplies/documentation/contents of boxes;
  5. Collate and maintain pupil medical information, onsite medication (including expiry dates), and care plans for children in liaison with the Office/Data Manager;
  6. Collate and oversee clubs/activities sign-up and registers through the term, including liaising with external club providers as necessary;
  7. In liaison with the Marketing Manager and Office Manager, produce and distribute the Weekly Newsletter.
  8. Manage the admin that supports all school trips in liaison with the teacher running the trip including booking transportation and arranging ticketing requirements;
  9. Termly admin tasks e.g.: prize giving certificates admin, school photographs, immunisations, school events in liaison with the Office/Data Manager
  10. Any other duties which may, from time to time, be reasonably assigned by the Business Manager or the Head. Where such duties amount to more than a temporary adjustment to the main responsibilities of this job description, it will be amended accordingly. It will always be subject to periodic amendment whenever circumstances or appraisal processes dictate changes in the post holder’s role within the school.
