Job Description
The Executive Secretary provides high-level administrative support to the executive team, ensuring the smooth and efficient operation of the office. This role involves managing schedules, coordinating meetings, handling correspondence, and ensuring confidentiality in all matters.
Key Responsibilities:
1. Administrative Support:
- Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents as required.
- Screen and direct phone calls and distribute correspondence.
2. Meeting Coordination:
- Organize and coordinate internal and external meetings, including preparing agendas and taking minutes.
- Ensure follow-up on action items discussed in meetings.
3. Confidentiality and Documentation:
- Handle sensitive and confidential information with utmost discretion.
- Maintain and organize filing systems, both digital and physical, ensuring easy retrieval.
4. Travel and Event Management:
- Arrange travel itineraries, accommodations, and transportation for executives.
- Assist in organizing corporate events and conferences.
5. Communication and Liaison:
- Serve as the primary point of contact for internal and external stakeholders on all matters related to the executive team.
- Liaise with department heads and team members to ensure efficient communication.
6. Office Management:
- Monitor office supplies and coordinate maintenance of office equipment.
- Assist in budget preparation and expense tracking for the executive office.
Qualifications and Requirements:
- Bachelor’s degree in Business Administration, Management, or a related field (preferred).
- Proven experience as an Executive Secretary, Administrative Assistant, or similar role.
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
- Bilingual in Arabic and English
