Overview

Gulf Education, a leading provider of furniture and school supplies to educational institutions in the UAE.

The Project Coordinator will work closely with the Senior Project Coordinator and other team members to oversee project planning, procurement, delivery, installation, and post-sales activities.

This role plays a vital part in ensuring the successful completion of projects while maintaining a high level of client satisfaction and managing essential project documentation.

Responsibilities

Project Coordination:

  • Assist in managing various aspects of project execution, from initial planning to completion, ensuring projects stay on schedule and within budget.
  • Collaborate with the Senior Project Coordinator to develop and maintain detailed project plans, timelines, and budgets.
  • Work alongside cross-functional teams to facilitate smooth project flow and address project-related issues.
  • Collaborate with cross-functional teams, including procurement, logistics, and installation, to guarantee smooth project flow.
  • Continuously monitor project progress, identify potential bottlenecks, and proactively address any issues or delays.

Documentation and Administrative Support:

  • Prepare, organize, and manage all project-related documentation, including Memos, Purchase Orders (LPO), and Delivery Notes, with precision and attention to detail.
  • Maintain comprehensive records of all project documentation, ensuring compliance with company policies and industry standards.
  • Work closely with the procurement team to facilitate the efficient handling of purchase orders, invoices, and related paperwork.

Delivery and Installation Assistance:

  • Support the planning and execution of delivery and installation activities.
  • Collaborate with logistics and installation teams to ensure timely and accurate delivery and setup of products.
  • Assist in upholding safety and quality standards during the delivery and installation processes.
  • Maintain strict quality control measures to ensure that all products delivered meet or exceed industry standards and client expectations, upholding the integrity of our brand and commitment to excellence.

Client Interaction:

  • Serve as a point of contact for clients during project execution, addressing inquiries, concerns, and feedback.
  • Assist the Senior Project Coordinator in managing client expectations and ensuring high levels of client satisfaction.
  • Address client inquiries, concerns, and feedback promptly and effectively.
  • Manage client expectations and work tirelessly to ensure sustained high levels of client satisfaction

After-Sales Support:

  • Work to resolve post-sales issues or concerns raised by clients in a timely and professional manner.
  • Collaborate with the customer support team to provide ongoing support and guidance to clients as required.

 

Qualifications

  • A bachelor's degree in business administration, project management, or any related field
  • Previous experience in project coordination, procurement, logistics, or a related role.
  • Familiarity with managing detailed documentation and cross-functional teams.
  • Strong organizational and communication skills.
  • Proficiency in documentation tools and software.
  • Ability to handle client interactions professionally.
